Office Administrative Assistant Position

PART-TIME CONTRACT OR CASUAL - JOB DESCRIPTION

Position: Office Administrative Assistant (Hybrid)

Location: Al-Furqan PT School, 70 Fieldrow St, Ottawa, ON.

Reporting Relationships: Principal

The Muslim Association of Canada (MAC) is a nationally incorporated charity with chapters in 13 cities across Canada. Al-Furqan PT School is one of MAC projects located in the west end of Ottawa.

Key Duties and Responsibilities:

The administrative assistant will perform a wide range of administrative and office support activities to assist the Principal and HR Coordinator in their duties and facilitate the efficient operation of school.

Duties and Responsibilities:

1-      become familiar with the school policies, protocols, and programs to where you can comfortably answer a range of general inquiry questions from the public by email;

2-      become familiar with our registration software;

3-      maintain an electronic and hard-copy filing system;

4 - perform general clerical duties including printing, photocopying, filing, and mailing;

5 - provide helpful customer service to all visitors and inquiries in-person, over the phone, or via email;

6 - prepare and modify documents including correspondence, welcome packages, packing lists, reports, emails, etc;

7 - open, sort, and distribute incoming correspondence;

8 - resolve administrative problems and inquiries;

9 - regularly connect with the Al-Furqan community by maintaining a mailing list. 

Minimum Qualifications

§   excellent oral and written communication and presentation skills in English;

§   good technical and computer skills; 

§   ability to work within a team, with integrity, enthusiasm, initiative and confidence;

§   interpersonal skills with an emphasis on compassion, patience and professionalism;

§   strong research and teaching skills;

§   sound knowledge of Islamic faith and practice.

Desirable Qualifications

§   experience with/knowledge of current Islamic school program(s) and procedures.

§   sound knowledge of Islamic faith and practice.

§   excellent oral and written communication skills in English.

§   strong research and teaching skills.

Hours: Monday to Thursday, 2 hours/day (In the evening from 6-8 PM).

Duration of work: From September 2023 to June 2024 (Possibility to extend over the summer break).

Pay: $20/hr
